Set up the DATEV - Integration

Setting up the DATEV integration

Does your company use DATEV for accounting? Then you've come to the right place! In this article, we'll show you how to set up the integration.

1. Prerequisites and setup

If you're using the DATEV Booking Data Service for the first time, please contact your tax advisor to have the service activated.

2. Configure the settings

Go to Settings → Expense Management → Integrations to complete the setup. Then click DATEV Online Accounting.

Once all settings have been configured correctly, the red warning triangle will disappear.

Configure the settings according to your company's requirements for transferring reports to DATEV. Default settings have already been defined based on common DATEV use cases.

  • Receipt output format: Choose how receipts should be transferred to DATEV. Default setting: One receipt per expense.

  • Posting date for reports: Select the posting date for your reports (this corresponds to the posting date in DATEV). Default setting: Use the same date as the last expense included in the report.

  • General ledger account length: Select the length of the general ledger accounts used in your DATEV system. Default setting: 4.

  • Start of the fiscal year: Enter the start date of your fiscal year. Important: This setting must be updated once per year.

In the next step, configure the dimensions required for transferring data to DATEV by navigating to Settings → Expense Management → Dimensions.

For each dimension, click the three dots on the far right and select Edit configuration.

On the Expense Categories tab, make sure that the Deductible VAT checkbox is not selected for each category.

The Cost Center dimension is divided into Type, Level, and Default value for. The corresponding dropdown options are already preconfigured, so no changes are required.

Scroll down to the Assign to DATEV Online Accounting field. Select KOST1 – Cost center from the dropdown menu and save your changes.

The Tax Rate dimension is divided into Type, Level, and Default value for. The corresponding dropdown options are already preconfigured, so no changes are required.

Scroll down to the Assign to DATEV Online Accounting field and select the appropriate Posting Key from the dropdown menu.

Great! All settings have now been completed, and the red warning triangle should have disappeared. You're now ready to create your first expenses and reports. Let's get started!

3. Retrieving the data in DATEV

You can now import the data from the submitted report into DATEV for further processing. The posting batches and master data can be retrieved from the DATEV data center using the DATEV format.
