Adjust non-compliant TimeTracking entries

⚠️What does the “!” symbol in the time recording mean?

The “!” symbol next to a time entry indicates that it violates one or more compliance rules that you have defined under Settings → Compliance. You can find more detailed information on the settings here.

Common causes of violations:

  • A prescribed break was not recorded
  • The recorded break was shorter than permitted
  • The employee worked too long or forgot to clock out

✅ Correct violations with one click

Non-compliant entries can be easily corrected using the “Adjust” button.

This appears when you move the mouse over an affected entry - provided that the "Display issues with time entries that do not meet the compliance requirements" option is activated
(Settings → Time tracking → Compliance).

After this feature has been applied, a small icon (robot) will appear to indicate its activation.

 

For even more transparency, the previous entries in the user’s profile as well as the modified entries are listed under “Recent Activity – Time Tracking. 

 

💡How the automatic adjustment works

An intelligent algorithm recognizes violations and suggests a suitable correction according to your rules.

What remains the same:

  • The clock-in and clock-out times remain the same
  • ⚠️ Exception: If the person has worked longer than permitted (clocking out too late), this time is adjusted

 

How breaks are handled:

1. breaks that are too short are removed and counted as working time:

Example 1:

Settings in employee protection:

“A break must be at least 15min long.”

  • 🕘 Entry with a 10-minute break instead of the compliant 30 minutes: 10-minute break is deleted and the compliant break time is inserted in the middle of the day

 

2. if there is no break, although one is required, a minimum break is inserted in the middle of the working day.

Example:

Settings in employee protection:
“For shifts that are equal to or longer than 6:00 hours, users must take at least a 0:30 break.”

  • 🕘 Entry with 6h 30min working time and 0min break is adjusted to 6 hour working time and 30min break

 

3. if there is a pause but it is too short, the first pause is extended to comply with the rules.

Example:

Settings in employee protection:
“For shifts that are equal to or longer than 9:00 hours, users must take at least a 0:45 break.”

  • 🕘 Two short, individually valid breaks that together are too short (35 min). The first break is extended (by 10 minutes) to comply with the rule (45 minutes).

 

➡️ The algorithm always checks the entire working time and adjusts breaks according to the settings for employee protection.

 

‼️ IMPORTANT:

When a time entry is adjusted using the new button, any comments and labels attached to that entry will be removed.

 

🛠️ Summarized: How to adjust an entry

  1. Go to time tracking and activate the switch: "Display issues with time entries that do not meet the compliance requirements”(Settings → Time tracking → Compliance)
  2. Move the mouse over the entry with the “!”
  3. Click on “Customize” to apply the suggested correction.
